Primary role is to provide secretarial and administrative support to the UK based Regional Vice Presidents. Secondary role is to support the Binley based Facilities Manager.
VP Support
- Maintaining and managing their day to day meetings/travel plans
- Devising and maintaining office systems, including data management and filing
- Preparing itineraries for travel overseas
- Arranging flights, taxis, train reservations in advance and in accordance with company travel policy
- Liaising and negotiating with travel agents or hotels as required, when booking all travel arrangements in advance and in accordance with company travel policy
- Liaising with hotels and venues for events, arranging dinner or catering for both business or social events, ensuring they are planned and co-ordinated effectively and within budget
- Completion of monthly expenses on Concur, to include calculating mileage for travel
- Process invoices via the Purchase Order Payment route in SAP
Facilities:
- Take notes and distribute for Fire Warden, First Aid and H&S and Facilities and Binley More Sustainable meetings
- Administration support for projects
- General administration, printing, laminating
- Management of Stationary cupboard stock and orders
- Meeting and greeting visitors at all levels of seniority
- Administration and support with the organisation of food and drinks for meetings organised at Binley Head Office
- Administration and support with for events/ training arranged by Facilities
Skills Required:
Minimum number of years 5 experience in a similar role for an Executive Director in a large commercial business.
Excellent word processing and IT skills, including knowledge of a full range of software packages
